Caterer Playbook

How to get more leads on WeddingBite

Six steps. Takes under an hour total. Caterers who follow all six steps see 4–5× more quote requests within 30 days.

01

Claim your listing

5 minutes

Unclaimed listings can't receive lead notifications — couples' quote requests go nowhere. This is step zero.

  • Go to WeddingBite.co/for-caterers
  • Search for your business name
  • Click 'Claim This Listing' and fill in your contact details
  • Check your email for the confirmation link
Pro tip: Already claimed? Skip to step 2.
02

Upload 3–8 real photos

15 minutes

Caterer listings with photos get 3× more couple clicks than those without. Real food photos outperform stock photos every time.

  • Go to your dashboard (link in your claim confirmation email)
  • Scroll to 'Your Photos' and upload 3–8 images
  • Use actual photos of food you've catered — not venue shots
  • Include variety: full spreads, close-up dishes, serving setup
Pro tip: Phone photos are fine. Natural light and real food beats professional headshots of empty tables.
03

Respond to every lead within 24 hours

Ongoing

Couples contact 2–3 caterers at once. The first one to respond with a real answer wins. 24 hours is the window.

  • You get an email the moment a couple requests a quote — check it
  • Reply with a simple price range and your availability for their date
  • Don't wait until you have a complete quote — an initial response holds the lead
  • Add a Calendly link or phone number to move to a call faster
Pro tip: Even a 2-line reply beats silence. 'Got your request — our BBQ buffet runs $35–$55/person. Are you free for a quick call this week?' closes more deals than a 5-paragraph proposal sent 3 days later.
04

Set your price range (even approximate)

2 minutes

Price is the #1 filter couples use. If you have no pricing info, couples skip you. Even a rough range ('$30–$75/person') helps you show up in budget searches.

  • Email hello@weddingbite.co with your approximate per-person price range
  • Include your service style (buffet, plated, stations, etc.)
  • We'll update your listing within 48 hours
  • You can also note dietary options you accommodate
Pro tip: Don't undersell. Couples searching for $80+/person want someone who works at that level — pricing yourself there attracts better-fit leads.
05

List every cuisine and service type you offer

5 minutes

Couples filter by cuisine. If you do BBQ, Tex-Mex, and Southern but only BBQ is listed, you're invisible to 2/3 of your potential customers.

  • Email hello@weddingbite.co with all your cuisines (e.g., BBQ, Southern, American, Tex-Mex)
  • List service types: Buffet, Plated Dinner, Food Stations, Family Style, Cocktail Reception
  • Note dietary options: Vegetarian, Vegan, Gluten-Free, Kosher, Halal
  • We'll update your listing within 48 hours
06

Ask satisfied clients for a review

1 minute per client

Reviews are trust signals. A listing with 3 real reviews converts 2× better than one with none. You don't need 50 — you need 3 honest ones.

  • After a successful event, email your client: 'Would you mind leaving a quick review on WeddingBite?'
  • Link them directly to your caterer page
  • They can leave a review via the 'Write a Review' section at the bottom
  • Reviews go live after we approve them (usually same day)
Pro tip: Ask within a week of the event — memories are fresh and clients are happy. Don't wait months.

Frequently Asked Questions

How quickly do couples contact after finding my listing?

Most quote requests come within 1–3 days of a couple's initial search. They're usually comparing 2–3 caterers at once, so speed of response matters more than the quality of your first message.

Do you take a commission on bookings?

No. Never. You pay a flat monthly fee for premium placement (or nothing for a basic listing), and keep 100% of every booking. No per-lead fees, no commission cuts.

What's in a Premium listing?

Premium listings appear in the top 3 on city search pages, get a gold badge, and show up first in cuisine-filtered searches. On average, premium caterers get 3× more quote requests than free listings. It's $99/month — one booking covers 6+ months.

What if couples aren't converting to bookings?

Usually one of three things: response time (reply faster), pricing mismatch (check if your budget range matches who's searching), or no photos (add real food photos — this is the single biggest conversion driver).

How do I update my listing details?

Email hello@weddingbite.co with changes. We update manually right now — automated profile editing is coming soon for claimed caterers.

Can I list multiple locations or service areas?

Yes. Email us the cities or counties you serve. We'll add a service area note to your listing so couples in those areas find you.
